Privacy Policy

Last updated: May 27, 2026

Welcome to SwiftParent (also referred to as "Family App", "Swift Call", "we", "our", or "us"). We are committed to protecting your privacy and ensuring you have a secure experience when using our mobile application and the Swift Call hardware terminals (the "App" and "Device").

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services, which facilitate card-based, touchless video calling and communication for students. Please read this privacy policy carefully to understand our policies and practices regarding your information. If you do not agree with the terms of this privacy policy, please do not access or use our services.

1. Information We Collect

We may collect information about you in a variety of ways when you interact with our devices or mobile applications. The information we may collect includes:

  • Personal Data: Information you provide during registration or login, such as your name, email address, phone number, and account credentials (for parents and administrators).
  • Device Permissions & Access (Parent Mobile App):
    • Camera & Microphone: We require access to your device's camera and microphone exclusively to facilitate real-time video and audio calls. We do not record, intercept, or store the contents of your audio/video calls on our servers.
    • Notifications: We request permission to send you push notifications to alert you of incoming calls and important account updates.
    • Network & Wi-Fi State: We access network connectivity information to ensure a stable video call connection and to optimize call quality.
  • Smart Card Data: Smart Card identifier mappings that link a specific card swipe to the corresponding parent contact details. No private financial or personal files are stored on the card itself.
  • Usage & Log Data: Automatically collected information such as your device ID, operating system version, and call metadata (e.g., call start/end times and durations for billing, point deduction, and institutional call log auditing purposes).

2. How We Use Your Information

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we use the information collected via the App and Device to:

  • Create and manage your user account.
  • Facilitate real-time, peer-to-peer video and audio communications between students and parents.
  • Process call durations for billing, point management, and administrative tracking by school authorities.
  • Send you push notifications regarding incoming calls via Google/Apple push notification services.
  • Improve the stability, security, and performance of the App and Hardware.
  • Respond to customer service requests and provide technical support.

3. Third-Party Services

We use trusted third-party service providers to facilitate our App's core functionality. These third parties have access to your data only to perform specific tasks on our behalf and are obligated not to disclose or use it for any other purpose:

  • Agora SDK: Powers the real-time video and audio calling infrastructure.
  • Firebase (Google): Used for secure user authentication, database storage (Firestore), and delivering push notifications (Firebase Cloud Messaging).

These third-party providers have their own privacy policies addressing how they use such information, and we encourage you to review them.

4. Data Retention and Deletion

We retain your personal information only for as long as necessary to provide you with our services and for legitimate business purposes. If you wish to delete your account or request the deletion of your personal data, you can do so by contacting us directly. Upon your verifiable request, we will delete or anonymize your personal data so that it no longer identifies you, unless we are legally required to maintain certain records.

5. Security of Your Information

We implement appropriate administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or misuse.

6. Policy for Children

Our App and Device are designed for use by hostel/residential students to communicate with parents. We collect only necessary identifiers (e.g. smart card mappings) to route calls. We do not knowingly solicit or collect personally identifiable information from children under the age of 13 without verifiable school/parental consent. If we become aware that we have collected personal data from a child under age 13 without consent, we will take steps to securely delete that information as quickly as possible.

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time in order to reflect changes to our practices or for other operational, legal, or regulatory reasons. We will notify you of any material changes by updating the "Last updated" date of this document. You are encouraged to periodically review this Privacy Policy to stay informed.
